Excel Interview Questions: The Formulas and Tasks You'll Get

Excel interviews for analyst, MIS, finance and operations roles test lookups (VLOOKUP, XLOOKUP, INDEX-MATCH), conditional sums like SUMIFS, IF logic, pivot tables, cleaning data, and often a short timed task on a sample sheet.

Sample answers

Say the formula, then why you'd use it.

Interviewers want the right function for the job, plus awareness of its limits.

Model answers for 4 Excel questions

Typical round: verbal questions, then a 20-30 minute task on a sample file

Q: VLOOKUP vs XLOOKUP? A: VLOOKUP searches the first column of a range and returns a column to the right by index, so it breaks if columns move and can't look left. XLOOKUP takes separate lookup and return ranges, can look left, defaults to exact match and handles not-found values cleanly.

Q: How would you total sales for North region in March? A: =SUMIFS(Sales[Amount], Sales[Region], "North", Sales[Month], "Mar"). SUMIFS takes the sum range first, then pairs of criteria ranges and criteria.

Q: How do you remove duplicates while keeping a record? A: Copy the data first, then use Data > Remove Duplicates on the key columns, or use =UNIQUE() in newer Excel to create a deduplicated list without touching the source.

Q: Why use a pivot table? A: To summarise large data quickly by dragging fields into rows, columns, values and filters, for example sales by region and month, and to drill into details without writing formulas.

What interviewers check

Built for scanners, humans and hiring intent.

  • Lookups

VLOOKUP, XLOOKUP and INDEX-MATCH are tested in almost every Excel interview.

  • Conditional logic

IF, IFS, SUMIFS, COUNTIFS and IFERROR show you can build reliable reports.

  • Summarising data

Pivot tables, charts and subtotals show you can turn rows into answers quickly.

  • Clean, fast work

Text functions, Power Query and shortcuts show you can handle messy real data.

Examples

Formula questions

  • Absolute vs relative references?
  • What does IFERROR do?
  • COUNT vs COUNTA vs COUNTIF?
  • What is conditional formatting?
  • What does TEXT() do with dates?

Data tasks

  • Split full names into first and last names.
  • Find duplicate invoice numbers.
  • Combine two sheets by customer ID.
  • Calculate days between two dates.
  • Highlight rows where sales fell below target.

Practical test prompts

  • Build a monthly sales summary by region in 15 minutes.
  • Create a chart of top 5 products by revenue.
  • Clean a column with extra spaces and mixed case.
  • Add a dropdown list to restrict entries.
  • Protect formulas while allowing data entry.

Small edits that lift response rates.

Run through these before every application.

  1. 1Practise on a messy sample fileInterview tests often include blanks, duplicates and text-formatted numbers on purpose.
  2. 2Use structured referencesFormatting data as a Table makes formulas readable and ranges expand automatically.
  3. 3Know a few shortcutsCtrl+Shift+L for filters, Ctrl+T for tables and Alt+= for AutoSum show fluency.

FAQ

Common questions, direct answers.

What Excel skills are asked in interviews?

Lookups, SUMIFS and COUNTIFS, IF logic, pivot tables, charts, data cleaning with text functions, conditional formatting, data validation and sometimes Power Query or macros.

What is the difference between VLOOKUP and XLOOKUP?

XLOOKUP can look left, uses separate lookup and return ranges, defaults to exact match and has a built-in not-found argument. VLOOKUP only looks right and uses a column index.

What is INDEX-MATCH?

A combination where MATCH finds the row position of a value and INDEX returns the value at that position from another column. It works left or right and isn't broken by inserted columns.

What is the difference between absolute and relative references?

Relative references like A1 change when copied. Absolute references like $A$1 stay fixed. Mixed references like $A1 lock only the column or row.

What does SUMIFS do?

It adds values in a range that meet multiple conditions, for example sales for one region in one month.

What is a pivot table?

A tool that summarises large datasets by grouping and aggregating fields into rows, columns, values and filters without formulas.

What is conditional formatting?

Automatic formatting of cells based on rules, such as highlighting values below target or showing data bars.

What is data validation?

Rules that restrict what can be entered in a cell, such as dropdown lists, number ranges or date limits.

What does IFERROR do?

It returns a chosen value when a formula results in an error, for example =IFERROR(VLOOKUP(...), "Not found").

How do you remove duplicates in Excel?

Use Data > Remove Duplicates on selected columns, or the UNIQUE function in newer versions to create a separate unique list.

What is Power Query?

Excel's data import and transformation tool for cleaning, merging and reshaping data with repeatable steps that refresh automatically.

What is the difference between COUNT, COUNTA and COUNTIF?

COUNT counts numeric cells, COUNTA counts non-empty cells, and COUNTIF counts cells that meet a condition.

What is a macro?

A recorded or written VBA routine that automates repetitive Excel tasks, such as formatting a report.

How do I prepare for an Excel test for a job?

Practise lookups, SUMIFS, pivot tables and cleaning on a sample dataset under a 20-30 minute time limit, and double-check results before submitting.

Which Excel skills should I put on my resume?

List specific skills like XLOOKUP, pivot tables, Power Query, dashboards and macros, and show one result, such as reporting time saved.
