Short answer: Before replying, check the CTC split, joining date, location and notice terms in the offer letter. Then send a short email that thanks them, clearly accepts the offer, confirms the role, joining date and CTC, and asks about the next steps for onboarding.
The offer is in your inbox. After weeks of interviews, the temptation is to reply “Accepted, thank you!” within a minute. Hold on for ten. An acceptance email confirms terms, and once you have confirmed them, changing anything becomes awkward.
The Check–Confirm–Commit method
- Check the offer letter against what was discussed.
- Confirm the key terms in your email so there is a written record.
- Commit clearly, and move to onboarding.
Step 1: Check the offer letter
| Check | What to look for |
|---|---|
| Role and level | Title and grade match what you were told |
| CTC breakdown | Fixed vs variable, bonuses, and any clawback on joining bonus |
| Joining date | Realistic given your notice period |
| Location and work mode | City, office, remote or hybrid days |
| Probation | Length and notice period during probation |
| Notice period after confirmation | You will be bound by this when you leave later |
| Bond or service agreement | Any minimum service period or penalty |
| Offer validity | The date by which you must accept |
Step 2 and 3: The acceptance email

Frequently asked questions
How soon should I reply to a job offer?
Acknowledge it within 24 hours, even if you need a few days to decide. If you need time, say when you will confirm.
Is an acceptance email legally binding?
Accepting by email is usually treated as acceptance of the offer’s terms, so read the offer letter carefully first. Employment terms depend on your contract; for anything unclear, ask HR in writing before accepting.
Can I accept an offer and later decline it?
It happens, but it damages your reputation with that company and sometimes the recruiter. If you must, tell them as early as possible and politely. Avoid accepting offers you are not serious about.
Should I sign the offer letter or just reply by email?
Do what the company asks. Many send a digital signing link or ask for a signed copy. Your email can confirm that you have signed and attached it.
What should I do after accepting the offer?
Resign from your current job if you have one, confirm your last working day, collect documents (relieving letter, payslips, ID and education proofs), and stay in touch with HR until joining.
